1. Our approach to personal information
Tudio takes the protection of personal information seriously. This Policy explains in practical terms what information may be collected when you use tudio.ca, why we need it, how it is used, how long it is kept and what choices are available to you. It is intended primarily for visitors who contact us about a project, maintenance request, collaboration or another professional matter.
Tudio is a trade name of DigitApp Inc., a corporation incorporated in Quebec, Canada. DigitApp Inc. is the organization responsible for personal information collected through the Tudio website. Client contracts and ongoing business relationships may be governed by separate documents, but information collected directly through tudio.ca is handled under this Policy.
2. Privacy Officer
Moïze Laanait is responsible for the protection of personal information. He oversees the company’s privacy practices and receives requests for access or correction, as well as questions or complaints concerning the handling of personal information.

3. Information you provide to us
When you use our form, we may collect your full name, organization or company name, email address, telephone number and the general nature of your request. If your request concerns a project, the form may also include the services you are interested in, the address of an existing website or project, the project stage, an approximate budget, preferred timeline, target date and any information you choose to include in your message.
For maintenance or support requests, we may receive the address of the website or application involved, the nature of the issue and the level of urgency. You may also attach a useful document, such as a brief, presentation or screenshot, using the formats accepted by the form. A message or attached file may itself contain personal information, so we ask that you provide only information that is reasonably necessary for us to understand your request.
4. Website analytics information
Tudio uses Google Analytics 4 only when you accept analytics cookies. When this category is enabled, Google Analytics may generate information about visits and sessions, pages viewed and certain interactions, as well as technical information such as browser or device type and approximate geolocation. We use this information to understand how the website is used and to improve its content and navigation.
Tudio does not use Google Ads or remarketing for the activities described in this Policy. If you refuse analytics cookies, we do not activate Google Analytics 4 for analytics purposes during your visit. More information about analytics cookies appears in our Cookie Policy.
5. Why we use this information
Information submitted through the form is used to read and understand your request, determine whether Tudio may be able to help, prepare a response, arrange a scoping discussion and, where appropriate, prepare a quote or proposal suited to the project. It may also be used to answer a question, review a maintenance issue or follow up on a collaboration request. We do not use contact form information to automatically add you to a marketing list or create an advertising profile.
Analytics information collected with your consent is used to produce aggregate statistics about website usage, identify content that visitors find useful and understand general navigation patterns. Tudio does not use these analytics to determine your eligibility for a service, make an automated decision about you or set the price of a client engagement.
6. Consent and withdrawal
When you submit the contact form, you confirm that Tudio may use the information you provide to respond to your request and take steps reasonably necessary for that purpose. Where analytics cookies require your choice, that choice is requested separately through the website’s cookie management mechanism.
You may withdraw consent for future use of your information where the law allows. Withdrawal does not undo uses already made in accordance with the consent provided and may, in some situations, limit our ability to continue handling a request. For analytics cookies, you can change your choice through the website’s cookie manager.
7. Where information is stored and who may receive it
Requests submitted through the Tudio form are stored in the website database, and attached documents are stored with the request for the period required to handle it. The website and its data are hosted with OVHcloud in Canada. Access is limited to people who need the information to handle the request or maintain the operation and security of the service.
When you accept analytics cookies, certain information is processed through Google Analytics 4. If you choose to schedule a meeting using the Calendly link, information you submit on Calendly is processed through that service according to its own practices. Google and Calendly may process certain information outside Quebec or Canada depending on their infrastructure and policies. Tudio does not sell or rent personal information collected through its contact form.
8. Retention of contact requests
Personal information submitted through the Tudio contact form, including uploaded documents associated with the request, is retained for no more than 60 days. An automated process then deletes the request from the website database and removes the associated uploaded files. This period gives us enough time to understand the request, communicate with you and identify the next step without keeping information that is no longer useful.
If a request becomes a contractual relationship, information that becomes necessary to perform the engagement, invoice the client, maintain accounting records or meet a legal obligation may then be retained in DigitApp Inc.’s business records according to the rules applicable to those records. That retention is separate from the tudio.ca contact form. Information processed by Google Analytics follows the service’s own configured retention settings and is addressed separately in our Cookie Policy.
9. Safeguards
Tudio uses reasonable administrative and technical safeguards intended to limit access to personal information, reduce unnecessary exposure and protect information against unauthorized access, use, alteration or disclosure. The limited retention period for contact form submissions is part of those safeguards, as is restricting access to people who need the information for their work.
No Internet-connected system can offer an absolute guarantee of security. If a privacy incident creating a risk of serious injury were to occur, DigitApp Inc. would take the steps required by applicable law, including assessment, documentation and notices to affected individuals or authorities where required.
10. Your rights
Subject to the conditions and exceptions provided by law, you may request access to personal information that DigitApp Inc. holds about you, ask us to correct information that is inaccurate, incomplete or ambiguous, and withdraw consent to a future use or disclosure where withdrawal is available. A clear and sufficiently detailed request helps us respond more efficiently.
To exercise a right or ask a privacy question, email contact@digitapp.ca and address your request to Moïze Laanait, Privacy Officer. We may need to verify your identity before disclosing or changing personal information in order to avoid providing it to the wrong person.
11. Questions, complaints and recourse
If you have a concern about how your information has been handled, we encourage you to contact the Privacy Officer first. We will review the matter and attempt to provide a clear and reasonable response. You may also contact the Commission d’accès à l’information du Québec if you believe that an issue governed by Quebec privacy law has not been resolved appropriately.
12. Changes to this Policy
We may update this Policy when our form, practices, service providers or applicable requirements change. If a material change affects how we collect, use or disclose personal information, we will update the Policy and provide appropriate notice on the website. The date shown at the top of the page identifies the version currently in effect.
